What are notifications?
Notifications are emails that are automatically sent from the system (to applicants, evaluators, or managers).
A list of all these emails sorted alphabetically can be found in the „Notifications“ tab either in the main menu at the organisation level or in the menu at the programme level (the list of notifications is the same at both the organisation and programme level).
All changes you make to notifications in the tab at the organisation level will be applied to all programmes.
Changes you make to notifications in the tab at the programme level will be applied only to the specific programme.
These automatic emails already have preset text that you can keep as is or edit according to your needs. Sending of these emails can also be individually turned off and turned on.
When these notifications are sent cannot be changed – sending is linked to specific actions performed by the manager in eGRANT.
If you want to create a custom notification email that is not linked to any action performed in eGRANT, use „Bulk Notifications“.
Below you will find a list and description of all notifications that are automatically sent from the system.
Notifications upon applicant registration
Account activation
The notification is sent to the applicant after registering in eGRANT and contains a link through which they can activate their account.
Password reset
The notification is sent to the applicant if they request a password reset. It contains a link through which the applicant can create a new password.
Notifications upon application submission
Admin notification about a submitted application
The notification is sent after each application submission to managers whose emails are listed in the „Settings“ tab at the programme level (field „notification email for submitted applications and final reports“).
Application submitted
The notification is sent to the applicant when the application has been successfully submitted.
Notifications in the evaluation process
Admin notification about a submitted evaluation
The notification is sent to the manager when an evaluator submits an evaluation of an application in the system.
This notification is sent to managers whose emails are listed in the „Settings“ tab at the programme level (field „notification email for submitted applications and final reports“).
Notification for evaluator about application assignment for evaluation
The notification is sent to the evaluator after the manager submits at least one application for evaluation.
The notification is sent to the evaluator who is assigned to that application.
Notification for evaluator about evaluation completion
The notification is sent to the evaluator after the manager closes the evaluation of a specific application. The evaluation is thereby complete.
Notification for evaluator about evaluation reopening
The notification is sent to the evaluator after the manager reopens the evaluation of a specific application. It informs the evaluator to revise their evaluation.
Notification for applicant about application sent for evaluation
The notification is sent to the applicant when the manager moves their application to evaluation.
Notifications in the voting process
This information applies exclusively to participatory budget management.

Application moved to voting
This notification is sent to submitters when their projects are moved to voting.
Notifications in the approval process
Application approved
The notification is sent to the applicant after the manager approves it in the system
Application rejected
The notification is sent to the applicant after the manager rejects it in the system.
Application placed in the reserve list
The notification is sent to the applicant after the manager places it in the reserve list in the system (neither approved nor rejected).
Notifications related to contracts
Admin notification about digital contract signing
The notification is sent to the manager when the applicant successfully signs the contract electronically.
This notification is sent to managers whose emails are listed in the „Settings“ tab at the programme level (field „notification email for submitted applications and final reports“).

Notification for digital contract signing
The notification is sent to the applicant after the manager sends their generated contract for digital signing.
The notification contains the contract document as an attachment and a link that opens the applicant’s account where they can sign the contract electronically.

Sending a donation contract
The notification is sent to the applicant after the manager sends the generated contracts from eGRANT.
The notification contains the contract document as an attachment.
Notifications in the settlement process
Notification to complete the final report
This notification is sent to the applicant and is one of the three notifications from this list that must be sent manually when you want to remind applicants to complete the settlement form.
Admin notification about a submitted final report
The notification is sent to the manager after the applicant submits the completed settlement form.
This notification is sent to managers whose emails are listed in the „Settings“ tab at the programme level (field „notification email for submitted applications and final reports“).
Notification to complete the interim report
This notification is sent to the applicant and is another of the three notifications from this list that must be sent manually when you want to remind applicants to complete the interim report form.
Interim report accepted
The notification is sent to the applicant when the manager accepts their submitted interim report.
Interim report submitted
The notification is sent to the applicant when they successfully submit the interim report form.
Interim report reopened
The notification is sent to the applicant when the manager reopens the received interim report for correction.
Final report accepted
The notification is sent to the applicant when the manager accepts their submitted final report (settlement).
Final report submitted
The notification is sent to the applicant when they successfully submit the settlement form.
Final report reopened
The notification is sent to the applicant when the manager reopens the received settlement for correction.
Other
Additional form accepted
The notification is sent to the applicant when the manager accepts their submitted custom form (if a custom form for applicants has been created and made available).
Custom forms for applicants can be used, for example, for a change request.
Additional form submitted
The notification is sent to the applicant when they successfully submit an additional (custom) form (if a custom form for applicants has been created and made available).

Additional form reopened
The notification is sent to the applicant when the manager reopens the received custom form for correction (if a custom form for applicants has been created and made available).

Generic notification for all applications (including unsubmitted)
This notification has no preset text and is sent manually when you need to contact all applicants, including those who have not yet submitted their applications.
Change Request
The notification is sent to the manager when the applicant requests a change in their application via a simple notice.
This request is sent to all managers in the programme.
