Overview of processes you can manage in eGRANT

In the eGRANT system, you can work with subsidy/grant applications from their receipt, through evaluation, approval and contracting, right up to the financial report.

 

Receiving applications

To be able to receive applications in eGRANT, you need to open a programme (or several programmes) and create an application form.

Once the programme is open, applicants can register on the login page and start completing the application. You can view every registered applicant in the list of applicants. You can then view their applications (whether in progress or completed and submitted) in the list of applications.

Checking received applications

Directly in eGRANT, you can also verify applicants’ liabilities in several registers (this feature is subject to a charge; if you are interested in it, please contact us).

If you need to carry out a formal check of applications based on a specific checklist, you can use custom forms for this and create the checklist as a form intended for managers. If you issue an opinion or record on this check, you can use the templates feature, which enables automatic generation and sending of documents.

If necessary, you can also reopen an application that has already been submitted and return it to the applicant for correction.

Evaluation and approval

In the eGRANT system, you can create access accounts for evaluators, to whom you assign the applications they are to evaluate. After logging in to their account, the evaluator will then find a list of all applications they are to evaluate.

You create evaluation criteria for evaluators, on the basis of which they will evaluate the assigned applications. These criteria take the form of a mini form, which is displayed to the evaluator on the right-hand side of the screen after opening the application they are evaluating. You can return evaluations to evaluators for correction.

Once all evaluators have submitted all their evaluations, the points are added up and the applications are displayed sorted by number of points in the “Schvaľovanie” tab. Here you can manually enter proposed amounts for approval for individual applications. If the approved amounts match the requested amounts, you can use automatic approval of projects (up to the amount of the budget allocated for subsidies).

Contracting

For all approved applications, you can automatically generate a contract based on a sample document that you upload to eGRANT. You can then automatically send the generated contracts, with data loaded from the application, to the applicants’ email addresses.

Financial reporting

In the financial reporting process, you can use final reports and, where applicable, interim reports. You create both as a form that the applicant completes in the same way as the subsidy/grant application.

You can pull data from other forms into both the final and the interim report form (e.g. from the subsidy/grant application form).

Both submitted final and interim reports can be accepted (approved) or returned to the applicant for correction.

In the eGRANT system, you can also manage a participatory budget – from receiving ideas, through assessment, public voting, approval and contracting, right up to the financial report, just as with subsidy management.
